Terms of Use — CANONIA

This English version is provided for information only. In case of divergence, the French version prevails (see §17.4).


Preamble

These Terms of Use (the "Terms") govern access to and use of the CANONIA platform (the "Platform" or "Service"), available at https://canonia.online and its subdomains.

CANONIA is a brand and service operated by:

The CANONIA trademark, website, databases and all intellectual property elements are the exclusive property of GOLDENSEAL OÜ.

Use of the Service implies full and unreserved acceptance of these Terms. Users who do not accept these Terms must refrain from using the Service.


Article 1 — Definitions

  • "Platform" / "Service" — all functionality, content, interfaces and services offered under the CANONIA brand.
  • "Operator" — GOLDENSEAL OÜ, the company publishing the Service.
  • "User" — any natural person of legal age accessing the Platform, whether visitor, registered user or paying subscriber.
  • "Diagnostic" — real-time querying of third-party AI assistants about a named person.
  • "Canonical Profile" — a structured biographical synthesis the User creates about themselves on the Platform.
  • "AI Third Parties" — providers of AI models queried via their public APIs (OpenAI, Anthropic, Google, Perplexity, and any future integration).
  • "User Content" — any information, data, text, image or document submitted by the User to the Platform.

Article 2 — Purpose

CANONIA allows any natural person of legal age to:

  1. view in real time the information third-party AI assistants generate about them (Diagnostic Phase);
  2. create and publish a structured Canonical Profile, designed to be indexed by search engines and read by AI systems (Profile Phase);
  3. monitor how AI-generated information about them evolves over time (Monitoring Phase).

CANONIA is not a search engine, not a social network, and not an e-reputation service in the "right to be forgotten" sense. The Operator does not modify AI Third Party responses and has no power over data indexed by third-party search engines.


Article 3 — Access — Eligibility

3.1 Legal capacity

The Service is reserved exclusively for natural persons of legal age (18+) with full legal capacity to contract.

3.2 Real identity

The User undertakes to use the Service only about themselves or about a person who has expressly mandated the User in writing (assistant, agent or legal guardian).

Using the Service to research, profile or generate content about a third party without their written consent is a serious breach of these Terms and engages the User's sole liability.

3.3 Prohibited accounts

The following are strictly prohibited:

  • accounts created under a fictitious or stolen identity;
  • accounts created by minors;
  • accounts created in the name of a deceased person without written probate authority;
  • accounts created by bots, scripts or automated agents;
  • multiple accounts created by the same person to circumvent quotas.

Article 4 — Account registration and security

4.1 Account creation

Creating an account requires a valid email address and a strong password (minimum 12 characters, including uppercase, lowercase, digits and special characters).

4.2 User responsibility

The User is solely responsible for the confidentiality of their credentials. Any action performed from their account is deemed performed by them. In case of suspected compromise, the User must change their password immediately and inform the Operator.

4.3 Strong authentication

For paid subscriptions, two-factor authentication (2FA) is strongly recommended and may be made mandatory for sensitive functionality (publishing a Canonical Profile, editing certified User Content).


Article 5 — Diagnostic Service

5.1 Nature of the Diagnostic

The Diagnostic queries several AI Third Parties in parallel via their public APIs with a textual request containing the name searched by the User and an optional context (city, profession).

5.2 No warranty on generated content

Responses returned by AI Third Parties are generated by their own models, over which the Operator has no editorial control. These responses may contain:

  • inaccurate, partial, outdated or fabricated information (hallucinations);
  • identity confusion between namesakes;
  • bias or defamatory statements generated by the models.

The Diagnostic is specifically designed to surface these flaws. The User cannot hold the Operator liable for content generated by AI Third Parties.

5.3 Retention of results

Diagnostic results are retained for 30 days for technical purposes (rate-limiting, anonymous aggregated statistics) and then automatically erased — unless the User joins the waitlist or creates an account, in which case the data is tied to that account.

5.4 Usage limits

To prevent abuse, the number of free Diagnostics is capped per IP and per account. Exact thresholds are shown in the Service interface and may change.


Article 6 — Canonical Profile Service

6.1 Profile creation

The User may create a Canonical Profile about themselves, containing biographical and professional information they write themselves or that AI suggests based on the data they supply.

6.2 Truthfulness obligation

The User formally undertakes, under their exclusive responsibility, that all information published on their Canonical Profile is true, accurate, up to date and not misleading.

Strictly prohibited:

  • diplomas, titles or certifications not actually obtained;
  • fictitious or misleadingly exaggerated professional experience;
  • false affiliations with organisations, companies or institutions;
  • false distinctions, awards or prizes;
  • any information intended to fraudulently conceal a past (criminal conviction, professional ban, fraudulent bankruptcy) where a legal disclosure obligation exists.

6.3 Verification levels

CANONIA offers three verification levels, clearly displayed on the Profile:

  • Self-declared (default) — supplied by the User without verification by the Operator;
  • Technical verification — confirmed via a technical channel (LinkedIn OAuth, corporate email domain, etc.);
  • Third-party verification — confirmed by a trusted third party (the diploma-issuing institution, the employer via API or signed attestation).

The "Self-declared" level does not constitute certification of truthfulness by the Operator.

6.4 Publication and indexing

Once published, the Canonical Profile is publicly accessible at canonia.online/p/[identifier]. It is designed to be:

  • indexed by search engines;
  • readable by AI models via standard formats (schema.org, llms.txt, MCP);
  • freely shared by the User.

The User expressly acknowledges that publication results in a potentially worldwide and durable distribution of their Profile, and accepts the consequences.

6.5 Right to withdraw

The User may unpublish or delete their Profile at any time. The Operator will remove it from its servers within 72 hours. However, the Operator cannot guarantee the removal of copies, caches, indexes or training already performed by third parties (search engines, AI, archives).


Article 7 — Prohibited content

The User formally undertakes not to publish, transmit or generate via the Platform any content that is:

  1. Unlawful under French, European, Estonian or any applicable law;
  2. Defamatory, insulting, hateful, racist or discriminatory;
  3. Glorifying crimes (terrorism, crimes against humanity, etc.);
  4. Child sexual abuse material or otherwise harmful to minors;
  5. Infringing the privacy of a third party without consent;
  6. Infringing the intellectual property rights of others;
  7. Misleading as to identity, qualifications or affiliations;
  8. Designed to manipulate AI systems via prompt injection, hidden instructions or other adversarial techniques;
  9. Designed to conceal a criminal conviction where a legal transparency obligation exists (public office, regulated professions, directorships of listed companies, etc.);
  10. Impersonating a real natural or legal person.

Any breach results in immediate suspension of the account without notice and, where applicable, reporting to the competent authorities.


Article 8 — Intellectual property

8.1 Platform

The source code, the CANONIA brand, the logo, graphics, interface and architecture of the Platform are the exclusive property of GOLDENSEAL OÜ and are protected by copyright, trademark law and database law.

Any reproduction, representation, modification, substantial extraction or reuse, in whole or in part, is strictly prohibited without prior written authorisation from GOLDENSEAL OÜ.

8.2 User Content

The User retains full intellectual property over the User Content they publish on the Platform.

However, by publishing this Content, the User grants GOLDENSEAL OÜ a non-exclusive, worldwide, royalty-free licence, limited to the duration of publication, to:

  • host, reproduce, display and distribute the Content on the Platform;
  • make it accessible to search engines and AI systems in line with the purpose of the Service;
  • use it for technical purposes (backup, caching);
  • use it for anonymous statistical purposes.

This licence automatically terminates when the User deletes the Content.

8.3 AI Third Party responses

Responses generated by AI Third Parties and surfaced within the Diagnostic are subject to the terms of the respective providers (OpenAI, Anthropic, Google, Perplexity, etc.). The User may not put them to commercial use without authorisation from those providers.


Article 9 — Pricing and payment

9.1 Free Service

The Diagnostic is offered free of charge, subject to displayed quotas. Joining the waitlist is also free.

9.2 Paid Services

The Canonical Profile, Monitoring and Premium features are offered as paid plans whose prices are clearly displayed on the Platform before any commitment.

9.3 Payment methods

Payments are processed by PCI-DSS-compliant third parties (Stripe, Paystack, Flutterwave). The Operator does not store complete card data on its servers.

9.4 Right of withdrawal

Pursuant to article L. 221-28 of the French Consumer Code (and equivalent laws), the User has a 14-day right of withdrawal from the initial payment, unless they have expressly begun using the Service (publishing a Profile) before that period expires, in which case they expressly waive that right.

9.5 Renewal and termination

Subscriptions renew automatically at the end of each term, unless the User cancels at least 24 hours before the renewal date via their dashboard.

9.6 Refunds

No refund is due for mid-term cancellation. Exceptions (major Service malfunction) are handled on a case-by-case basis.


Article 10 — Liability

10.1 Limitation of the Operator's liability

GOLDENSEAL OÜ undertakes to provide the Service diligently and according to industry standards — this is a best-efforts obligation.

The Operator cannot be held liable for:

  • responses from AI Third Parties surfaced in the Diagnostic;
  • the inaccuracy of User Content published by the User themselves;
  • service interruptions caused by maintenance, AI Third Parties, hosting providers or force majeure;
  • indirect damages (lost opportunity, alleged reputational harm, lost revenue);
  • fraudulent use of the Service by the User or by a third party that accessed their account.

In any event, GOLDENSEAL OÜ's total liability to a User, all causes combined, is capped at the total amount paid by the User during the 12 months preceding the triggering event, or at EUR 100 if the User has made no payment.

10.2 User liability

The User is solely responsible for:

  • the truthfulness of User Content;
  • respecting third-party rights (privacy, intellectual property, image rights);
  • any damage caused to the Operator or to third parties from their use of the Service.

The User undertakes to indemnify GOLDENSEAL OÜ against any judgment, penalty, attorney's fees or damages arising from their breach of these Terms or of third-party rights.


Article 11 — Personal data

Processing of personal data is governed by the CANONIA Privacy Policy, available at https://canonia.online/privacy, which forms an integral part of these Terms.

The User acknowledges having read this Policy before accepting these Terms.


Article 12 — Cookies

Cookie usage is governed by the CANONIA Cookie Policy, available at https://canonia.online/cookies, which forms an integral part of these Terms.


Article 13 — Reporting and moderation

13.1 Reporting

Anyone (User or third party) may report content they consider non-compliant with these Terms by writing to abuse@canonia.online. The report must include:

  • the reporter's identity;
  • the URL or identifier of the content concerned;
  • a detailed reasoning;
  • where applicable, supporting documents.

13.2 Handling

The Operator undertakes to review every report within 5 business days. Depending on the case:

  • request for clarification from the relevant User;
  • temporary suspension of the disputed content during review;
  • removal of the content and/or the account;
  • referral to the competent authorities in case of an offence.

13.3 Procedure for persons mentioned

Any person whose identity is wrongly mentioned in another's Canonical Profile may request immediate removal of that mention by writing to dpo@canonia.online. The Operator will handle such requests within 72 hours.


Article 14 — Suspension and termination

14.1 By the Operator

GOLDENSEAL OÜ reserves the right to suspend or terminate an account, without notice or compensation, in case of:

  • breach of these Terms;
  • unlawful, fraudulent or misleading content;
  • unpaid amounts;
  • threat to the security of the Platform or other Users;
  • request from a competent administrative or judicial authority.

14.2 By the User

The User may delete their account at any time from their dashboard or by writing to privacy@canonia.online. Deletion results in:

  • erasure of their personal data within 30 days (subject to legal retention obligations);
  • immediate unpublication of their Canonical Profile;
  • termination of any ongoing subscription without pro-rata refund.

Article 15 — Changes to the Terms

GOLDENSEAL OÜ reserves the right to amend these Terms at any time. Any material change will be notified to the User:

  • by email at the address provided on registration;
  • by a banner visible on the Platform;
  • at least 15 days before the new provisions take effect.

A User who does not accept the new Terms may terminate their account free of charge before they take effect. Failing that, continued use of the Service constitutes acceptance.


Article 16 — Governing law and jurisdiction

16.1 Applicable law

These Terms are governed by Estonian law, without prejudice to mandatory consumer protection provisions applicable in the consumer User's country of residence.

16.2 Dispute resolution

In case of dispute, the parties undertake to seek an amicable resolution before any judicial action by writing to legal@canonia.online.

Failing an amicable agreement within 30 days, the dispute will be submitted to the competent courts of Tallinn (Estonia), subject to mandatory provisions to the contrary for consumers.

16.3 European mediation

For consumers resident in the European Union, the European Commission provides an online dispute resolution platform: https://ec.europa.eu/consumers/odr


Article 17 — Miscellaneous

17.1 Severability

If any provision of these Terms is held void, unlawful or unenforceable, the remaining provisions remain in full force.

17.2 Non-waiver

The Operator's failure to enforce any breach by the User does not waive the right to enforce it later.

17.3 Entire agreement

These Terms, together with the Privacy Policy and the Cookie Policy, constitute the entire agreement between the User and the Operator. They supersede any prior document.

17.4 Language

These Terms are drafted in French. This English version is provided for information only. In case of divergence, the French version prevails.


By ticking the "I accept the Terms of Use" box at registration or on use of the Service, the User acknowledges having read, understood and accepted these Terms in full.
